ChilliDB Essentials: Member Portal Configuration - Document Page Setup

The Documents page allows users to give their members access to any documentation that is related to their memberships. It is important to note that this documentation should be things like general policy documents and membership information that is related to all memberships, not documents that are specific to a single member as once the document is available to the membership page, all members will be able to view it.


Outside of the basic title options that are available on each page in the Member Portal, configuring the Documents section of the member portal is a little more complicated than the Contact Form and Membership sections. Before documents can be be accessed by members, users have to do the following:


i) Categorise Documents: make sure documents in the Document Register module in their ChilliDB system are categorised in a way that allows them to differentiate the member documents from all other documents in the system - more on this in step iii). If new categories are required, our ChilliDB Admin Quick Start: Reference Data article can help.


ii) Upload Documents: once you have the categorisations in place for your membership documentation, the next step is to upload the relevant documents to be displayed to members to your ChilliDB Document Register module. To do this:


a) Navigate to the Document Register module


b) Enter the details in the document record and attach the document to be uploaded.

c) Click 'Save' to store document in ChilliDB.


iii) Configure Member Documents to be Displayed in the Member Portal: from the Document Register. To do this, navigate to 'System Management' under the System menu. Then select 'Manage System Configuration'. On the configuration settings page search for 'document register' and the 'Member Documents Document Types' setting should be listed.


After clicking on this setting, the configuration window opens that allows users to indicate the document register categories they want to make available for members to view.

Note: All documents that fall under the categories selected here will be displayed to members, so users need to ensure that only the documentation they want them to see falls under the categories chosen.


Once this setting is updated, any documentation you upload that matches the categories chosen will automatically be displayed your members when they visit the Memberships page.
