ChilliDB Essentials: Member Portal Configuration - Contact Form Page Setup

The Contact Form page section of the Member Portal configuration allows ChilliDB users to toggle on/off certain functionalities related to this page as well as select the fields they wish to display for their members to make changes to as part of their contact profile. Once this page is setup, members will be able to manage their own contact details, making changes when necessary, as well as provide answers to any fields in the system that the user thinks is relevant to their membership(s). Changes made are then reflected in the ChilliDB system itself without requiring input from one of your users.


When configuring the contact form, users make selections related to 3 areas:

i) Titles: this is where users can indicate the titles to be displayed in the navigation bar and at the top of the page.

ii) Address Grouping: toggling this switch dictates whether members see their address presented as one single entity or a collection of separated fields when viewing their contact details.

iii) Form fields: This option on the contact configuration page enables users to indicate which fields they would like their members to be able to view; whether these fields are required fields in terms of needing a response; and also if they are to be read-only or fillable fields. The layout and order the fields are presented in can also be adjusted on this page



To add a new field to the list of those available to members on the contact form, users click on the 'Add new field' dropdown at the bottom of the contact form and select the field they wish to add. To add the new field to the list members will see in the member portal, click the 'Add' button and then click 'Save'.


After adding a field to the list of those available to members in the contact form, users can adjust the form fields in the following ways:

i) Required/Read-only fields: users are able to indicate by checking a box whether they wish certain fields to require a response, and/or if they are to be read only.

ii) Field width and placement: this section of the form allows users to dictate how much space each field takes up and where it is placed on the screen in relation to the previous field. Single width = across half the screen; Double width = across the whole screen; Automatic placement = the field goes in the next available space; and Starts new row = the field is placed in the next row down from the last field.



iii) Field Order/Deletion: the up/down arrows in this section of the form allow users to shift fields up and down the list to reorder them. If wishing to remove a field from the list (and display in the member portal), users can just click the yellow 'X' button.


Note: ChilliDB users should be aware that when they give their members access to the Member Portal that this means they will be able to change their contact details and have this data fed back into the system without system users receiving any notifications that this has happened. This does mean that if a member enters incorrect data into a field in the portal, it will be brought into ChilliDB and stored as such.


If you are looking for a method of updating your contact or organisation's data that doesn't give them free reign to change things without having those changes checked, perhaps a survey would be a better option. ChilliDB surveys provide a 'merge' feature to users, which allows them to first check the data that has been entered before deciding to merge it back into their system. It is, of course, a more labour intensive option for the user, but it does remove the chance that incorrect data could be added to your system.
