ChilliDB Essentials: Member Portal - Member Account Functions

Any ChilliDB users in your system who are responsible for managing memberships and Member Portal access should be aware of the following processes:


1) Inviting members to access the portal

2) Member Account setup/access


A sound knowledge of both of these processes allows these users to ensure a smooth transition to the member portal for their members, and also means they will be well placed to address any issues that might come up when members are attempting to set up their portal accounts. This article provides the detail required to adequately manage these processes so the transition to the use of your member portal can be as smooth as possible for all concerned.


1) Sending Invitations Out to Members


When the member portal is configured so your members can access the information you wish them to be able to access, you are now ready to invite them to log-in to the portal so they can manage their own information. As mentioned at the start of the 'ChilliDB Essentials: Member Portal Configuration Quick Start' article, if the member portal has already been configured, users can simply tick the 'Members can access the portal' field checkbox when setting up a membership package, and each member then added to the package will automatically be invited to the member portal.


However, if the portal is still being configured for existing memberships, and members are added while the 'Members can access the portal' checkbox is unticked (for 'no'), as is suggested in this scenario, there are a number of steps users have to take when ready to invite members to the portal:


i) Users have to edit the membership package record; check the box in the 'Members can access the portal' field to indicate they now wish members to have access to the portal. and then select the members they now wish to grant access to by checking the box next to their names under the 'Member' tab.


ii) Next, select the members you wish to grant access to the portal by checking the box next to their names under the 'Member' tab. Then, select 'Email Member Link to Portal' from the dropdown menu on the top right-hand side of the Active Members List - the menu is under the ˇ symbol.


The members selected will then receive an email inviting them to access the portal via a link provided.


2) Member Log-Ins


After clicking on the link provided in the email, they will be prompted to create a new password.


When this is done, they will be able to access the portal to make changes to their contact details and view other information associated with their membership. To do so, they follow the link to the portal sent to them when . This is available at the top of your portal configuration screen in the 'General' section if this link has been lost.


Once a member has registered an account, each time they click on the member portal link, they will be taken to the log-in page.


For security purposes, members will be asked to use an authenticator app (like Microsoft Authenticator; Google Authenticator etc) as part of their log-in process. If they don't currently have an authenticator app on their device, they will need to download one before being able to log in to the portal.


After entering the authenticator code, members will be logged in to the portal.




Your members can manage certain aspects of their account setup via the member portal, like password and authenticator app changes.


To change the password used to access their account, members click on the 'Account' tab on the left-hand side of the page and then on the 'Change password' button.


They are then prompted to type their current password and the new password they wish to use from this point onwards. Once this is done, they click 'Save'.



Your members can also change the authenticator app they are using to access the member portal. To do so, they click on the 'Change Authenticator app' button in the 'Account' tab.


They then follow the instructions to switch to a different app.
